As an indication of our core services we would consider the following to be included, but not limited to, our day to day role whilst managing any property:
Make regular visits to the estate to inspect the grounds and common areas and produce regular reports to the directors detailing maintenance requirements, making recommendations for remedial works and/or improvements. Feeding requirements into available cashflow.Ad hoc visits to the property as required to effect running repairs. We have our own team of maintenance personnel, whom we charge out at an hourly rate plus materials.Deal promptly with all day to day matters relating to the premises for both minor and or major incidences with equal importance for lessees and residents.Monitor the performance of existing contractors and appoint new contractors as and when required. Where you are happy with existing contractors we will not seek to replace them without your express agreement.To produce a written specification for all major maintenance and redecoration works.Obtain a minimum of three written quotations for all major maintenance and re-decoration works ensuring value for money and supervise all works being carried out.Meet with your Committee regularly at a frequency to meet demand or as a minimum on a quarterly basis to agree budgets, discuss relevant issues, review performance and discuss future planning for the estate.Attend general meetings of residentsProduce agendas and minutes for all meetings, with prompt issue of minutes and agreed action schedule with planned timescales.Provide a telephone service during normal office hours to deal with any matters arising within our area of responsibility, plus an option to provide an out of hours emergency contact arrangement.Liaise with solicitors and provide such accurate and timely information as they may reasonably require in respect of the sale of individual properties. (A separate administration charge to individual property owners is made for this service). Lend assistance in any disputes arising concerning the common areas of the estate and breaches of covenants.
